What this statement covers
This statement explains how we collect, use, share, store and protect personal information when you visit our website, make an enquiry, book or stay at Bumblebee Escapes, contact us through another platform, request an extra or special arrangement, or provide a review or other content.
Personal information we may collect
Depending on your contact with us, we may collect:
your name, postal address, email address and telephone number;
enquiry details, correspondence and messages sent by email, SMS, Facebook Messenger, Instagram, TikTok or another agreed channel;
booking details, including stay dates, booking date, accommodation selected, party size, payment status and the number of dogs staying;
notes needed to manage a booking, such as preferences, celebration details, special requests, guest extras or access arrangements;
payment and refund information supplied by Stripe, Bookalet or Airbnb, although we do not receive or store your full card details;
cancellation, complaint, incident, damage, safety and dispute information;
dietary, allergy, health, mobility or accessibility information that you choose to provide when it is needed for an arrangement or guest extra;
reviews, guest comments and records of permission to use photographs, videos or other content; and
technical website information, cookie preferences and information generated when you use an embedded booking service or map.
We normally collect details for the lead guest rather than every member of the party. We do not routinely collect children’s names or ages, vehicle registration numbers or full card details.
How we receive personal information
We may receive personal information:
directly from you through our website enquiry form, by telephone, email or message;
through Bookalet when you check availability or book through our website;
through Airbnb when you book or communicate through that platform;
through Stripe when a website booking payment or refund is processed;
from another person making a booking or enquiry on behalf of a group; or
from public review and social media platforms when you post a review, comment or message.
If you provide information about another person, please make sure they understand that their information may be given to us and used as described in this statement.
Why we use personal information and our lawful bases
| Purpose | Lawful basis |

| Keeping accounting, tax and transaction records | Legal obligation |
| Managing complaints, incidents, safety records, disputes and legal claims | Legal obligation and legitimate interests |
| Protecting our guests, accommodation, systems and business | Legitimate interests |
| Using dietary, allergy, health, mobility or accessibility information for a requested arrangement | Contract or legitimate interests, together with explicit consent for special category information |
| Sharing the minimum information needed with a supplier at your request | Contract, legitimate interests and, where special category information is involved, explicit consent |
| Publishing reviews or guest content | Legitimate interests for public reviews; consent for private feedback or identifiable photographs and videos |
| Operating our website, recording cookie choices and providing booking or map functions | Legitimate interests for essential operation; consent where required for non-essential cookies or similar technologies |
Sensitive information
Information about health, allergies, mobility or accessibility can be special category information. We do not ask for more than is needed. If you choose to provide this information so that we can assess suitability or arrange an extra or adjustment, we will use it only for that purpose and on the basis of your explicit consent. You may withdraw that consent by contacting us, although this may affect our ability to provide the requested arrangement.
Payments
Website booking payments and refunds are processed through Stripe in connection with Bookalet. Airbnb processes payments for bookings made through its platform. We do not collect or store full payment card details. Payment providers may process information under their own privacy terms and security requirements.
Who we may share information with
Where necessary, we may share limited personal information with:
Bookalet, which provides our website booking service;
Stripe, which processes website booking payments and refunds;
Airbnb, for bookings and communications made through Airbnb;
our website, hosting, email and technical support providers;
professional advisers, insurers, banks, regulators, courts or public authorities where necessary; and
a local supplier or service provider when you ask us to coordinate an arrangement.
We share only the information reasonably needed for the relevant task. Where a local supplier is involved, guests will usually contact the supplier directly. If you ask us to communicate with a supplier, we may share the accommodation booked and any necessary delivery, dietary, accessibility or special-request information. Suppliers are instructed not to use guest information for unrelated purposes.
We do not sell personal information.
Third party platforms and international processing
Services such as Airbnb, Stripe, Google Maps, Meta services, WhatsApp, Instagram and TikTok may process information outside the UK. Where we choose a service provider that processes information internationally, we expect it to use an approved legal safeguard or another lawful transfer mechanism. When you use an independent platform, its own privacy information also applies.
Reviews photographs and other guest content
Reviews displayed by us may come from Google, Airbnb, Facebook or our guest books. We normally use a first name only. We seek permission before reusing feedback that was supplied privately and will remove or anonymise a review if appropriate following a request. We will obtain clear permission before using an identifiable guest photograph or video, and we keep a record of that permission for as long as the content remains in use.
Marketing
We do not currently operate a marketing email list or add past guests to one. If we introduce marketing emails, we will provide a clear sign-up choice, keep a record of that choice and include an easy way to unsubscribe. Booking and enquiry details will not automatically be treated as marketing consent.
We do not use personal information for solely automated decisions or profiling.
Security cameras WiFi and property access
Security cameras operate at the property, with signage displayed. The cameras are used for live security monitoring and do not record or retain footage. Guest WiFi does not require guests to provide their name or email address to Bumblebee Escapes. Technical connection data may nevertheless be handled automatically by the router or communications provider as part of operating the service.
We use key safes or access codes for guest entry. Access information is provided for the stay and codes are changed regularly, including monthly or sooner where necessary.
How long we keep personal information
We keep information only for as long as it is reasonably needed for the purpose for which it was collected, including legal, tax, safety and dispute requirements. Our normal periods are:
| Record | Normal retention period |
| General enquiries that do not become bookings | Up to 12 months after the last contact |
| Website form entries that do not become bookings | Up to 12 months after the last contact |
| Confirmed or cancelled bookings and associated correspondence | Normally 6 years after the stay or the matter is closed |
| Payment, refund, accounting and tax records | Normally 6 years after the relevant accounting period |
| General operational notes, including dog, celebration or preference notes | Up to 12 months after the stay, unless needed for an unresolved matter |
| Dietary, allergy, health, mobility or accessibility details | Normally deleted within 30 days after the stay, unless needed for an incident, complaint or legal requirement |
| Complaints, disputes and incident records | Normally 6 years after the matter is closed, unless a longer period is reasonably required |
| Hot tub safety records | 3 years |
| Accident records | 7 years |
| Review, photograph or video permission records | For as long as the content is used, and for a reasonable period afterwards if needed to evidence the permission |
| Live security camera images | Not recorded or retained |
We may keep information for longer where a dispute, legal claim, safeguarding issue or regulatory requirement makes this necessary. When information is no longer needed, we delete it securely or anonymise it.
Cookies and website services
Our website uses cookies and similar technologies for essential operation and to remember cookie choices. It also contains services supplied by third parties, including Bookalet booking widgets and Google Maps. Some third-party content may set or access cookies when it loads. Our Cookie Policy explains the cookies and services in use and allows you to review or change your preferences. Non-essential cookies or similar technologies are used only where the required consent has been obtained.
How we protect information
We use password-protected accounts and limit access to the partners of Bumblebee Escapes and service providers who need it for their work. We take reasonable steps to protect information from loss, misuse, unauthorised access or disclosure. No internet or email service can be guaranteed completely secure, so please avoid sending unnecessary sensitive information.
